AI Voice Telephony for Hospitality: 10 Questions Owners Always Ask
The ten most frequently asked questions about AI voice telephony in hospitality: quality, languages, integrations, privacy and implementation answered honestly.

Almost every hospitality owner I speak to has the same ten questions about AI voice telephony hospitality before taking the step. Understandably so, because the phone is still the channel where reservations, complaints and group requests come in, and nobody wants a guest on a Saturday evening dealing with a robotic "press 1 for reservations".
In this FAQ overview I answer those ten questions honestly: what AI voice telephony can and cannot do, what it costs in time and quality, and where the pitfalls are.
If you want the broader context first, see our AI phone solution page, the complete guide to AI telephony for restaurants 2026 or the complete guide to hospitality automation. For a live demo, schedule a conversation via contact.
A short anecdote first: last month a German guest called an Amsterdam restaurant at 22:47 on a Sunday for a table for seven people, including two gluten allergies and a child seat. Our AI answered within two rings, switched to German, recorded everything and sent a confirmation. The manager only saw in the dashboard the next morning that the call had happened. No revenue lost, no staff woken up. That’s exactly why we get the ten questions below so often.
1. What exactly is AI voice telephony?
AI voice telephony hospitality is a system that answers incoming phone calls with a natural‑sounding AI voice, recognises the caller’s intent and acts on it: recording a reservation, answering a question, transferring the call or scheduling a callback request. Unlike a menu system, the AI simply speaks Dutch (or another language) and listens to what the guest says. According to data from CBS on the hospitality sector, staffing levels remain structurally under pressure, and the phone is one of the first tasks you can safely automate.
2. Doesn’t an AI voice sound old-fashioned and tinny?
The voices of 2024 were indeed recognisably fake. Those of 2026 are not. Modern text‑to‑speech models breathe, have intonation and pause in natural places. In blind tests, guests in more than eight out of ten cases do not notice they are speaking with an AI, provided the sentences stay short enough and the voice fits the venue. For each client we choose a voice that matches the atmosphere: warmer for a bistro, more businesslike for a hotel.
Practical tip: let ten staff members and regular guests call the demo before you go live. Their feedback on tone and pacing is invaluable.

3. Which languages are supported?
Our AI voice telephony hospitality works in five languages by default: Dutch, English, German, French and Spanish. The AI detects within two seconds which language the caller is speaking and switches immediately. For cities like Amsterdam, Rotterdam, Brussels and ski regions, this is the difference between a booked table and a hung‑up call. You can read more in multilingual AI chatbot, where the principle is identical.
4. What happens with a complicated question?
The AI does what a good host does: briefly ask what the guest wants and, if it falls outside the scope, politely transfer the call or record a callback request with name, number and context. No "I don’t understand, goodbye". The limit is around complex group contracts, complaints about an ongoing bill and legal matters. We route those directly to the manager with a short AI summary of the conversation so they immediately know what is going on.
5. Does AI voice telephony integrate with my reservation system?
We have an open API and connect via webhooks with the most widely used reservation and PMS systems in European hospitality. Direct integrations are in development for several providers; for the rest we use an intermediate step so reservations still automatically appear in your calendar. Do you have a specific system in mind? Check briefly via contact so we can honestly say whether a direct integration is ready or whether we use a workaround.
6. How quickly does the AI answer the phone?
Within one to two rings, day and night, 365 days a year. No hold music, no "you are number six in the queue". According to research from Horeca.nl, 30 to 50 per cent of callers hang up after more than four rings, and those are almost all lost reservations. Also read how response time in hospitality determines revenue.
7. What does AI voice telephony cost for my business?
We charge a fixed monthly fee per location that includes one Agentic AI for phone, email and chat combined, without per‑call charges. That way you know in advance what you will pay and the price is lower than hiring an additional part‑time employee solely for phone duty. Current rates can be found on the pricing page.
8. What about privacy and the EU AI Act?
All conversations are processed in the EU, transcripts are encrypted and you determine the retention period yourself. Guests hear a short message at the start of the call stating that they are speaking with an AI, as required by the EU AI Act. No hidden recordings, no data leaking outside the EU, and you can have individual conversations deleted on request.
9. What if the AI makes a mistake?
You will see it in the dashboard with audio and transcript included, and you can adjust it in two clicks: add a synonym, set an exception or rewrite an entire intent. The AI learns per venue. During the first two weeks you will make adjustments more often; after that it stabilises. According to Statista figures on AI adoption in service, the number of errors drops by an average of 60 per cent in the first month thanks to this feedback process.
10. How long does it take to go live?
An average venue goes live within five working days. Day 1 is intake and voice selection, days 2 to 4 are configuration of opening hours, menu, FAQ and integrations, and day 5 is testing with a few colleagues followed by activation. No long IT projects, no hardware. See how our AI email solution follows the same implementation rhythm so you can cover phone, email and chat in one go.
