Why guests drop off without AI reservations in hospitality

Guests do not drop off because they do not like your venue. They drop off because expectations around speed and clarity have changed.

Research among Dutch consumers shows that almost nine out of ten people are more likely to make a reservation at a restaurant that has an online reservation system. This means guests not only want convenience, but also see it as the standard when trying to book a table according to Lightspeed.

More than three quarters of consumers in the Netherlands also want to be able to change or cancel reservations made online themselves without calling, which shows that digital control has become part of the guest experience.

In hospitality, the share of reservations handled digitally is growing rapidly. The Restaurant Monitor shows that around 80 percent of all reservations in the Netherlands are now made online. Ten years ago that figure was about 30 percent according to the Nationale Horecagids. This illustrates a clear shift towards online behaviour: guests expect fewer telephone interactions and increasingly more direct digital interaction.

    Guests want instant confirmation

Across Europe and the rest of the world, digital adoption of reservation systems continues to grow. In 2023, three quarters of restaurants accepted reservations, largely because guests increasingly want to book a table on the same day. One statistic shows that around sixty percent of reservations in this context are made spontaneously and at short notice, indicating a strong preference for speed when booking. Source: Tableo

This trend means that guests, especially in urban areas, do not want to waste time waiting for a phone call or an answer to an email. Most make their choice and booking while they are planning, for example just before they leave or even while on the way.

Not being able to reserve instantly feels like extra effort for guests

Many guests see reserving by phone or email as extra steps in an already busy day. Research into guest behaviour shows that a large share of people prefer to first look up information about a restaurant online. In the Netherlands, more than half of guests say they research restaurants online before booking or visiting. Source: SIDES

This digital mindset plays a role in guests dropping off: if there is no quick online confirmation, the guest quickly feels that the process takes too much effort. In a world where you can arrange a holiday, hotel, taxi and dinner with one click, a missed or slow reservation response quickly feels outdated.

No response = choosing another restaurant

The combination of digital expectations and the growing share of online reservations in the Netherlands shows that guests do not wait until someone has time to call them back. If there is no instant confirmation, they are often open to another restaurant within seconds that does respond immediately. This translates into real revenue opportunities that quietly disappear.

An important reason for this is that guests increasingly adjust or cancel their reservation through online channels: almost two thirds now do so online instead of calling or emailing according to Lightspeed. This shows that digital self‑service is not only a preference, but an expectation that hospitality entrepreneurs encounter more and more often.

How AI makes a difference here

When a guest receives immediate feedback about availability, time and confirmation, it brings peace of mind and clarity. AI reservations do exactly that: they process requests instantly, ask follow‑up questions where needed and immediately give the guest certainty. As a result, the guest stays engaged with your restaurant instead of moving on to another option.

The fact that 80 percent of reservations now take place online and that more than three quarters of consumers want to manage those kinds of interactions shows that this is not a future scenario but reality. By using AI, you can align with current guest behaviour and prevent guests from dropping off due to a lack of speed or clarity.
